Out of Office E-Mail Messages

How to send automatic "Out of Office" or "Vacation" replies when you are away from the office for an extended period.

  1. Log in to webmail on https://webmail.marshallday.co.nz - you can do this from inside the Auckland office or from outside the office
  2. Click the Options link at the top of the page
  3. Click the Vacation Message link
  4. Click the Send auto-reply to sender box to enable the automatic messages
  5. Enter a vacation subject, for example I am on annual leave until 3 January 2008
  6. Enter a vacation message, such as giving more details on when you are away, or who to contact in your absence
  7. If you would like someone else to receive a copy of all of your emails while you are away, click the Forward incoming messages to addresses listed below box and enter the address or addresses in the Forwarding email addresses box
  8. If you don't want to receive a copy of the emails while you are away, click the No local delivery; forward and/or auto-reply only box

When you return - turning off Out of Office auotmatic replies

  1. Log in to webmail on http://webmail.marshallday.co.nz. You can do this from the office or from outside the office
  2. Click the Options link at the top of the page
  3. Click the Vacation Message link
  4. Click the Send auto-reply to sender box to disable the automatic messages. The tick should disappear from the box.
  5. You can just leave the other boxes as they are. They can easily be edited the next time you go away.

Notes

  1. Each sender will only receive one automatic reply per week. This saves repetition for people who may need to send you a lot of email while you are away. For example, if you are away for three weeks, and someone sends you a message every day that you are away, they will only receive an automatic reply on the first day you are away, the eighth day you are away and the fifteenth day you are away.
  2. Due to the previous point, don't panic if you are testing the Out of Office Message facility and you only get one reply.
  3. The vacation message will not send automatic replies to well behaved mailing lists. Emails from a well behaved mailing lists have a "bulk mail" header.
